Import a PDF bank statement into QuickBooks Online
QuickBooks cannot read a PDF statement. For QuickBooks Online, convert the PDF to CSV with BankConv, then go to Banking, choose Upload from file, pick the CSV and match the Date, Description and Amount columns. QuickBooks Desktop needs a .QBO Web Connect file instead; see the Desktop section below.
Step by step
- 1.
Convert the statement to CSV
Drop the PDF into BankConv, check the rows, and download CSV. Up to 10 statements at once.
- 2.
Open Banking in QuickBooks
Go to Transactions, then Bank transactions (called Banking in some accounts).
- 3.
Upload from file
Use the arrow next to Link account and choose Upload from file, then select the CSV.
- 4.
Pick the account
Choose the QuickBooks bank or credit card account these transactions belong to.
- 5.
Map the columns
Match Date, Description and Amount (or separate Credit and Debit columns), and set the date format your file uses.
- 6.
Review and accept
QuickBooks shows the transactions under For review. Categorize and add them as usual.
What QuickBooks Online expects
- Columns
- Date, Description, Amount; or Date, Description, Credit, Debit
- Dates
- One format for the whole file
- Header rows
- A single header row at the top
- Amounts
- Plain numbers, no currency symbols
- Encoding
- UTF-8, comma-separated
QuickBooks Desktop imports bank transactions from .QBO (Web Connect) files rather than CSV or OFX, and BankConv does not produce QBO files. See the QuickBooks Desktop section below for what to do instead.
Which CSV layout QuickBooks accepts
QuickBooks Online accepts two CSV layouts: three columns (Date, Description, Amount) or four columns (Date, Description, Credit, Debit). Pick one and use it for the whole file.
| Layout | Columns | Money out | Example row |
|---|---|---|---|
| 3-column | Date, Description, Amount | Negative number in Amount | 09/18/2026,STATE FARM INSURANCE,-168.43 |
| 4-column | Date, Description, Credit, Debit | Positive number in Debit, Credit left blank | 09/18/2026,STATE FARM INSURANCE,,168.43 |
Use the three-column layout when the statement prints one signed amount, as most US personal statements do. Use the four-column layout when the statement has separate Paid in and Paid out (or Deposits and Withdrawals) columns, which saves you merging them.
In the four-column layout, leave the unused cell empty rather than typing 0. Extra columns such as Balance or Check number can stay in the file; QuickBooks only imports the columns you map. If you are unsure which layout your file is in, the guide to PDF, CSV and OFX statement formats shows both side by side.
BankConv gives you the columns printed on the statement, with one header row and plain numbers. Download it from the bank statement to CSV converter.
Fixing a CSV that QuickBooks rejects or misreads
Most failed imports come from six problems: date order, signs, extra header rows, currency symbols, encoding and duplicates. Each has a quick fix in the CSV before you upload again.
| Problem | What you see | Fix |
|---|---|---|
| Date order | Dates land in the wrong month, or days above 12 are rejected | Pick the matching date format (MM/DD/YYYY or DD/MM/YYYY) on the mapping screen. If Excel reformatted the dates when you opened the file, re-download the CSV and upload it without re-saving. |
| Signs | Withdrawals show as deposits, or every row is money in | In the 3-column layout, money out must be negative. In the 4-column layout, put money out as a positive number in the Debit column. |
| Header rows | "Your file has no data" or the first rows are text | Delete title lines, account numbers and blank rows above the column names. Keep exactly one header row. |
| Currency symbols | Amounts are skipped or read as text | Remove $, £, € and thousands separators, so $1,234.56 becomes 1234.56. |
| Encoding | Garbled characters in payee names (é instead of é) | Save the file as UTF-8. In Excel, choose Save as, then CSV UTF-8 (Comma delimited). |
| Duplicates | The same transaction appears twice under For review | Trim rows the bank feed or an earlier import already covers. Exclude duplicates in For review instead of adding them. |
Unlike OFX or QBO files, a CSV carries no transaction ID, so QuickBooks cannot always tell that a row was imported before. Check the date of the last transaction already in the account, and start your CSV the day after. Or download OFX from BankConv instead: QuickBooks Online accepts it through the same Upload from file, needs no column mapping, and each transaction carries an ID that stays the same if you export the same statement again.
Check the import against the statement
Check the CSV before you upload, and check QuickBooks after you accept the transactions. Both checks use numbers printed on the PDF, so they take a few minutes.
- Count the rows. The number of transactions in the CSV should equal the number on the statement. A gap usually means a page break split or merged a line.
- Check the closing balance. If the statement has a running balance, the last balance in the CSV should equal the closing balance on the PDF.
- Total money in and money out. Compare both totals with the summary box on the first page. A mismatch of twice one amount points to a sign error on that row.
- Compare For review with the CSV. After upload, the number of transactions waiting under For review should match your row count.
- Reconcile in QuickBooks. Once the transactions are added, run QuickBooks' Reconcile for the statement period, entering the ending balance and date from the PDF. A difference of zero confirms the import.
QuickBooks Desktop
QuickBooks Desktop imports bank data through .QBO Web Connect files, not CSV. BankConv does not produce QBO files, so the route depends on how old the transactions are.
- Recent months: download a QuickBooks Web Connect (.qbo) file from your bank if it offers one. Some banks, such as Chase, offer it for recent activity only. In Desktop, import it under File, Utilities, Import, Web Connect Files.
- Older months: banks usually keep these only as PDF statements. Convert the PDF to CSV with BankConv, then turn the CSV into a .qbo file with the free CSV to QBO converter, which runs in your browser. Check the file in the OFX and QBO viewer before importing. You can also work from the spreadsheet, or import the CSV into QuickBooks Online.
Renaming a CSV to .qbo does not work. A Web Connect file is OFX data with Intuit-specific fields, including a bank identifier QuickBooks checks.
Using Xero instead
Xero imports the same CSV, but expects one signed Amount column and a Payee or Description column.
The steps and its own list of fixes are in how to import a bank statement into Xero.
QuickBooks Online questions
Can QuickBooks Online import a PDF bank statement directly?
No. QuickBooks Online imports bank transactions from CSV, QBO, OFX and QFX files, not PDFs. Convert the PDF to CSV first.
Why does QuickBooks reject my CSV?
The usual causes are extra rows above the header, mixed date formats, or currency symbols in the amount column. Remove them and upload again.
How far back can I import?
As far back as you have PDF statements. Banks usually limit direct feeds and downloads to recent months; PDF statements go back years.
Should I use the 3-column or 4-column CSV layout?
Use 3 columns (Date, Description, Amount) when money out is already negative. Use 4 columns (Date, Description, Credit, Debit) when the statement prints money in and money out in separate columns.
Can I import a CSV bank statement into QuickBooks Desktop?
Not through Desktop's bank feed, which reads .QBO Web Connect files. Turn the CSV into a .qbo file with the free CSV to QBO converter, or import the CSV into QuickBooks Online.
Why not just use the QuickBooks bank feed?
The bank feed only covers recent months, and only for banks QuickBooks connects to. A statement import covers older months, banks without a feed, and statements a client sends you.
Will importing a statement create duplicates?
It can, because a CSV has no transaction ID. Start the file the day after the last transaction already in QuickBooks, and exclude any duplicates QuickBooks shows under For review. Import months oldest first, one file per month.

Passwords never stored
The password of a protected PDF is used once to open the file.
No bank login
BankConv works from the PDF you download, never from a connection to your bank.
