Bank statement converter for bookkeepers and accountants
BankConv turns the PDF bank statements your clients send into Excel, CSV or Google Sheets rows of date, description, amount and balance, up to 10 files per batch. You check each file against the statement's closing balance, then import the CSV into QuickBooks Online or drop it into your reconciliation workbook.
What you can do with it
Month-end from client PDFs
Clients who won't share a bank feed still send PDFs. Convert each statement to CSV and import it, instead of retyping rows.
Catch-up and cleanup work
Bank downloads usually cover recent months only. PDF statements go back years, so a backlog can be rebuilt from the statements the client already has.
Batches across many banks
Upload up to 10 PDFs at once, from different banks. BankConv reads the table on each page instead of relying on one template per bank.
Password-protected statements
Enter the PDF password once during upload. It is used to open the file and is never stored.
Shared workbooks with clients
Send the result straight to Google Sheets so you and the client can add notes and categories in one place.
Automated intake
If you connect your intake to the REST API, included in every plan, statements clients email or upload to your portal can be converted without a manual upload.
How BankConv fits into month-end
Use it for the accounts that have no bank feed: the client who only sends PDFs, the closed account, the year you’re catching up on. Convert, check, import, then reconcile in your usual software.
- Collect the PDFs. Ask for the statement PDF from online banking, not a photo or a printed scan. Digital PDFs convert most cleanly.
- Convert in batches. Drop up to 10 files in at once. Enter passwords when asked.
- Check each file. Run the three checks below before anything goes into the ledger.
- Export. Use CSV for imports, Excel for working papers, or Google Sheets to share with the client.
- Import and reconcile. For QuickBooks Online, follow the CSV import steps. For Xero, see how to import a bank statement into Xero.
The three checks before you import
A converted file is only useful if it matches the statement. These three checks catch nearly every problem, from a missed page to a merged row.
| Check | How | What a mismatch usually means |
|---|---|---|
| Row count | Compare transactions per page with the PDF | A page break split or merged a row |
| Closing balance | Last running balance equals the printed closing balance | A missing or duplicated transaction |
| Totals | Sum money in and money out; compare with the summary box | A sign error on one row |
Do these before importing. Fixing one row in a spreadsheet is easier than unpicking a bad import.
Software your clients use
Almost every bookkeeping tool imports a statement CSV with date, description and amount. What differs is the menu and the details each one is strict about.
| Software | Common in | How it usually imports a statement CSV |
|---|---|---|
| QuickBooks Online | US, Canada | Usually Banking, then Upload from file. Takes 3 columns (Date, Description, Amount) or 4 (Date, Description, Credit, Debit). See the QuickBooks import steps. |
| Xero | UK, Australia | Usually Bank accounts, then Import a statement. Wants one signed Amount column and a Payee or Description. See the Xero import guide. |
| MYOB | Australia | Usually an import statement option on the bank account. Some editions prefer OFX or QIF; download OFX from BankConv. |
| Sage | UK, France | Usually an import option under Banking that takes CSV, with a column-mapping step. Check the date format matches the company settings. |
| Pennylane | France | Usually relies on bank synchronization; for accounts without a feed, it usually offers a transaction file import with its own column template. |
| CONTPAQi | Mexico | Usually through the Bancos module, which imports statement files per bank. A spreadsheet often needs reshaping to the layout it expects. |
Menus change between editions and countries, so treat these as a starting point and check the import screen in the client’s file.
Statements that need extra care
- Business statements grouped by type. Some banks list deposits, checks and withdrawals in separate sections. Sort by date afterwards for one timeline. The Chase page shows an example.
- Dates without a year. Statements spanning December and January can show MM/DD only. Check the rows around January 1.
- Scanned statements. BankConv reads them with OCR. Clear, straight scans work best; check amounts closely.
Pricing for a practice
Pay per document suits a one-off cleanup: $2.99 for up to 10 pages, then $0.20 a page. For steady monthly work, Starter covers 500 pages, Professional 1,000 and Business 5,000. Every plan includes Google Sheets and the API. See pricing.
A worked example for a practice with 40 monthly clients, each sending a 6-page statement (240 pages a month):
| Option | Cost per month | Pages included |
|---|---|---|
| Pay per document | 40 × $2.99 = $119.60 (each 6-page file hits the $2.99 minimum) | Pay as you go |
| Starter, billed yearly | $19 | 500 |
| Starter, billed monthly | $29 | 500 |
| Professional, billed yearly | $29 | 1,000 |
At 240 pages a month, Starter covers the work with room for catch-up jobs. Move to Professional when you regularly pass 500 pages, for example with longer business statements or a backlog season.
Questions people ask
Can I convert statements from different banks in one batch?
Yes. A batch takes up to 10 PDFs of up to 30 MB each, and they can come from different banks. Each file gives its own output, so client data stays separate.
Does BankConv reconcile the statement for me?
No. It converts the rows. Check the row count, the closing balance and the totals of money in and out against the statement before you import.
Which format should I use for QuickBooks or Xero?
CSV or OFX. QuickBooks Online imports either through Upload from file, and Xero's Import a statement takes both. OFX skips the column mapping; CSV lets you check and edit rows first. BankConv does not export QBO files, which QuickBooks Desktop needs.
How long are client files kept?
Uploads and converted files are deleted automatically after 24 hours. Teams can choose 48 or 72 hours. BankConv never connects to a client's bank account.
