Bank statement converter for small business owners

BankConv turns the PDF statements from your business bank account into Excel, CSV or Google Sheets rows of date, description, amount and balance, so you stop retyping transactions. Use the spreadsheet to track expenses, import the CSV into QuickBooks Online, Xero or Wave, or send your accountant a year of statements as one clean file.

What you can do with it

  • Stop retyping transactions

Upload the monthly PDF and get one row per transaction. Sort, filter and categorize in Excel or Google Sheets instead of copying numbers by hand.

  • Catch up on months of bookkeeping

Bank downloads usually cover recent activity only. PDF statements go back years, so a backlog can be rebuilt from the statements you already have.

  • Import into accounting software

Most tools accept a statement CSV. QuickBooks Online takes it through Upload from file, and Xero, Wave and FreshBooks have their own CSV imports.

  • Year-end and tax time

Convert 12 months of statements in two batches and hand your accountant one spreadsheet instead of a folder of PDFs.

  • Several accounts and banks

A checking account, a savings account and a second bank all convert the same way. Each file gives its own output, so accounts stay separate.

  • Loan and grant applications

Lenders often ask for months of statements and a summary of income. A spreadsheet makes it easy to total deposits by month.

How it fits into running a business

Use BankConv when the bank gives you a PDF but you need rows: for expenses, for your books or for your accountant. Download, convert, check, then use the file.

  1. Download the PDF statement from online banking. How to download bank statements shows where banks keep them.
  2. Upload it to BankConv. Up to 10 PDFs per batch, 30 MB each. Enter a password if the PDF has one; it’s used once and never stored.
  3. Check the rows against the PDF on screen.
  4. Download Excel to work with the numbers, CSV to import into accounting software, or Google Sheets to share with your bookkeeper.
One row per transaction, ready for Excel, CSV or Google Sheets.

Check the file before you use it

A converted file is only useful if it matches the statement. Three quick checks catch almost every problem.

Check How A mismatch usually means
Row count Count transactions on the PDF and rows in the file A row was split or merged at a page break
Closing balance The last running balance equals the printed closing balance A missing or doubled transaction
Totals in and out Sum deposits and withdrawals; compare with the summary box One amount has the wrong sign

BankConv converts the rows; it doesn’t reconcile them for you. These checks take two minutes and save an afternoon of fixing a bad import.

Getting it into your accounting software

Most small business software imports a statement CSV with date, description and amount. Pick your tool:

Software How to import Guide
QuickBooks Online Banking, then Upload from file QuickBooks steps
Xero Bank accounts, then Import a statement Xero guide
Wave Transactions, then Upload a bank statement Wave guide
FreshBooks Accounting, then Import from File FreshBooks guide
Sage Accounting Banking, then Import from bank statement Sage guide

If your software only reads OFX, download OFX instead of CSV.

A month-end routine for a three-account business

Take a consulting business with a business checking account, a savings account and an account at a second bank. Three PDFs a month, about 12 pages in total.

  1. On the 5th, download the three PDFs.
  2. Upload all three to BankConv in one batch.
  3. Run the three checks on each file.
  4. Import the checking and second-bank CSVs into your accounting software. Keep the savings file in Excel if it only has interest and transfers.
  5. Save the PDFs and spreadsheets in a folder per month for year-end.

For year-end, combine the 12 months in Excel into one table for your accountant.

What it costs

For an occasional statement, pay per document: $2.99 for up to 10 pages, then $0.20 a page. A free account converts 5 pages a day, which covers a short statement.

Your volume Sensible option
A few statements a year Free account, or pay per document from $2.99
Monthly bookkeeping, up to 500 pages Starter: $29 a month, or $19 a month billed yearly
A backlog of several years Starter for a month or two, then pay per document

Every plan includes Google Sheets and the API. See pricing for details and security for how files are handled.

Questions people ask

Does BankConv work with business bank statements?

Yes. Business checking and savings statements convert the same way as personal ones. Statements that group deposits and withdrawals in separate sections can be sorted by date afterwards.

Can I import the result into QuickBooks?

Yes. Download CSV or OFX and upload it to QuickBooks Online through Upload from file. BankConv doesn't export QBO files, which QuickBooks Desktop needs.

Is there a free option?

Yes. The first 5 pages convert free without signing up, and a free account gets 5 pages a day. Downloading needs a free account.

How far back can I convert statements?

As far back as you have PDFs. The conversion doesn't depend on the statement's date, so old statements work as well as last month's.

Does BankConv connect to my bank account?

No. You download the PDF and upload it. BankConv never asks for banking passwords, and files are deleted automatically after 24 hours.
